Are you a detail-oriented professional who thrives in a fast-paced construction environment? Jon M. Hall Company is seeking an experienced Project Coordinator to support our project managers, superintendents, and estimating team by ensuring seamless project execution. If you excel at organization, document management, and project coordination, we want you on our team!

What You’ll Do:

1. Contract Administration:

  • Manage contract documentation, signatures, and transmission procedures.
  • Request and maintain Certificates of Insurance for customers.
  • Create Schedule of Value and Billing Templates for project tracking.

2. Billing & Accounts Receivable:

  • Track billing deadlines and prepare monthly draw requests for approval.
  • Route billing for internal approval and ensure timely submission.
  • Maintain organized billing records and documentation.

3. Change Orders:

  • Maintain and update the Requested Change Order (RCO) Log.
  • Assign numerical tracking for all RCOs and follow up on approvals.
  • Submit and organize change order documentation as required.

4. Permits & Compliance:

  • Complete permit applications and distribute them for job site posting.
  • Prepare and send Notice to Owner (NTO) forms as needed.
  • Provide NTO information to vendors and subcontractors.

5. Utility Line Locates & Compliance:

  • Prepare job site descriptions for Sunshine 811 utility locates.
  • Maintain utility locate records and report non-compliance tickets as needed.

6. Subcontracts & Purchase Orders:

  • Draft and track subcontract agreements, ensuring timely execution.
  • Manage subcontractor insurance certificates and budget allocations.
  • Assign numerical Subcontractor Change Orders for accurate tracking.
  • Enter and verify purchase orders for project materials.

7. Project Correspondence & Documentation:

  • Draft, review, and distribute project-related correspondence.
  • Maintain organized electronic and hard copy project files.
  • Track and log all submittals and RFIs (Requests for Information).

8. Small Job Coordination:

  • Manage records for smaller projects and process monthly billing.

What You Bring to the Team:

Qualifications:

  • Experience: Previous experience in project coordination, construction administration, or related roles.
  • Software Proficiency:
  • Microsoft Office (Outlook, Word, Excel)
  • Project management and estimating software experience preferred
  • Detail-Oriented: Ability to handle multiple tasks, deadlines, and priorities efficiently.
  • Organized & Proactive: Strong file management and documentation skills.
  • Excellent Communication: Professional in verbal, written, and email interactions.
  • Team Player: Able to collaborate with Project Managers, Superintendents, and Operations Staff.

Physical Requirements:

  • Strength & Stamina: Ability to lift up to 50 lbs., climb on and off equipment, and work outdoors in all conditions.

Requirements:

  • Ability to work in a fast-paced, deadline-driven environment.
  • Excellent communication and interpersonal skills to collaborate with estimators and project managers.
  • Self-motivated, punctual, and highly organized with strong follow-up skills.
  • Professional demeanor with polished written and verbal communication skills.
  • Must have valid U.S. work authorization.
